AAUW California Internet Guidelines, AAUW California January 2004

The American Association of University Women of California (AAUW California) website, www.aauw-ca.org, and online communications provide information and services in furtherance of AAUW's mission to promote equity for all women and girls, lifelong education, and positive societal change. Content focuses on all aspects of AAUW at the state level in California, and is a benefit and service in furtherance of AAUW California's nonprofit and tax exempt status.

This policy is designed to maintain the integrity of AAUW California on the World Wide Web and in other online communications and to avoid the use of AAUW California's name in ways inconsistent with its image, mission, policies, and programs.

1. WWW.AAUW-CA.ORG (INCLUDING LOGOS, WRITTEN CONTENT, PHOTOGRAPHS, GRAPHICS, VIDEO, AND AUDIO)

The policy addresses three distinct audiences:

• AAUW California members, including branches, branch members, members-at-large, college/university member institutions, student affiliates, and interbranch councils
• AAUW California staff
• Other users

Website content is developed by AAUW California staff and leaders and the website is maintained by the AAUW California Communications Committee and staff. Any inquiries about the website or this policy should be directed to Director of Communications, American Association of University Women-CA, PO Box 160067, Sacramento, CA 95816-0067, or office@aauw-ca.org.

Any entity or individual who uses, accesses, or links to www.aauw-ca.org -- including logos, written content, photographs, graphics, video, and audio -- is bound by this policy. Use of, access to, or linkage to www.aauw-ca.org shall constitute acceptance of and agreement to be bound by the terms in this policy. AAUW California has the right to restrict or revoke access to any entity or individual that violates any provision of this policy.

Although www.aauw-ca.org includes links providing direct access to other Internet sites, AAUW California has not participated in the development of those other sites and does not exert any editorial or other control over those sites.

A. AAUW Members (Including Branches, Branch Members, Members-At-Large, College/University Member Institutions, Student Affiliates, and Interbranch Councils)

• Content from www.aauw-ca.org may be used in AAUW branch websites and online notices for AAUW activities. Standardized logos and placement specifications and rules on their use are provided through the Member Center at www.aauw.org, the website of our parent organization.
• AAUW members may reprint materials in accordance with this policy provided that credit is given to the AAUW California website and usage is consistent with AAUW’s mission, policies, and programs.
• www.aauw-ca.org cannot be linked to or used for personal or professional financial or political gain.
• AAUW branches that use www.aauw-ca.org to market, sell products, or raise funds across state lines, including marketing, sales, and fundraising via the Internet, need prior approval from AAUW California. If approval is given, a standard contract will be executed between AAUW California and the branch.

B. AAUW California Staff

• Staff may use www.aauw-ca.org in AAUW publications, newsletters, online notices, and other materials in furtherance of AAUW’s mission and consistent with AAUW’s policies and programs.
• www.aauw-ca.org cannot be linked to or used for personal or professional financial or political gain.

C. Other Users

• www.aauw-ca.org (including but not limited to text, content, photographs, video, and audio) is protected by copyright as a collective work or compilation under U.S. copyright and other laws. Other users must abide by all additional restrictions in this agreement.
• Other users may create Web links to any URL on www.aauw-ca.org so long as such link is for educational and informational purposes; in furtherance of AAUW’s mission to promote equity for all women and girls, lifelong education, and positive societal change; and consistent with AAUW policies and programs. Use may not create an implication of AAUW California’s endorsement of or affiliation with any third party.
• Without the explicit written permission of AAUW California other users may not copy, reproduce, distribute, publish, display, perform, modify, create derivative works, transmit, or in any way exploit www.aauw-ca.org, except that external users may download material for their own personal, noncommercial use. Without limiting the generality of the foregoing, other users may not distribute any part of this service over any network, including a local area network, nor sell nor offer it for sale. In addition, www.aauw-ca.org may not be used to construct any kind of database.

2. LINKS FROM WWW.AAUW-CA.ORG

• www.aauw-ca.org links only to websites that are affiliated with, working with, or supported by AAUW or web pages that support AAUW’s mission to promote equity for all women and girls, lifelong education, and positive societal change and are consistent with AAUW’s mission, policies, and programs.
• AAUW California is not responsible for any content on sites or web pages linked from www.aauw-ca.org Since we do not control those websites, we encourage you to review the privacy and other policies posted on these third-party sites.
• AAUW California does not support or endorse any activities on third party sites that may not be consistent with AAUW ’s mission, policies, and programs.

3. PRIVACY

AAUW California is committed to protecting the privacy of people who use www.aauw-ca.org.

A. General Browsing Information

Visitors to www.aauw-ca.org remain anonymous, and AAUW California does not attempt to obtain or retain personally identifiable information except as specifically stated. While many organizations use “cookies” -- small files sent from a website server to your computer through your browser program to understand how users move through a website and what pages are of most interest -- AAUW California does not use cookies at this time. AAUW California may maintain general aggregate information, such as the number of visitors to the site, which pages are most often viewed, or from which sites visitors have arrived. This information helps us to better serve our constituency and develop more effective and efficient programs. Unless you affirmatively provide personal information to us, however, we do not maintain information in a personally identifiable format and we take precautions to protect user data and privacy.

B. Personally Identifiable Information

We may ask you to provide personally identifiable information occasionally, such as when you send a secure contribution or register for an e-mail list. Like many nonprofit organizations, AAUW California obtains the names of potential supporters by renting membership lists of like-minded organizations and publications. Sometimes, instead of paying the rental fee, AAUW California exchanges its list with another group’s list for a single use. By receiving mail from other similar groups, you help AAUW California grow its programs and services. Please be assured, however, that any time you provide personally identifiable information to AAUW California, you can have your name excluded from any lists that AAUW California sells or exchanges.

Personal information in e-mails sent to staff or AAUW California leaders will be used to answer questions, address problems or complaints, or otherwise improve service. Please be aware that with any electronic communication, interception by unauthorized third parties is possible, so you may wish to transmit particularly confidential or sensitive information by regular mail.

C. Publication of Personal Information

The AAUW California web site will publish personal information with the following guidelines/restrictions:

4. MAILING LISTS

1. Mailing lists sponsored by AAUW California will conform to the following policies:
1. Messages will include only AAUW business
2. Messages will not contain jokes, chain letters, junk mail, personal messages or solicitations
3. The lists will not be used to campaign for AAUW elected or appointed office
2. Mailing lists will be automatically populated using data in the annual AAUW California directory of branch and state leaders.
3. Subscribers will ALL be responsible for updating their contact information for mailing lists by using the subscribe/unsubscribe process. The mailing lists will automatically remove subscribers who generate three bounced messages.
4. Subscription to AAUW California mailing lists will be approved on request for:
1. Members of AAUW California branches
2. Association Members-at-large residing in CA
3. AAUW California Members-at-large
4. Faculty and staff of Association College/University members in CA
5. Officers and committee members of the Association, AAUW Educational Foundation or AAUW Legal Advocacy Fund
5. Mailing lists will be verified annually.
6. Mailing lists are a benefit, with full access available only to members.
7. Mailing lists are offered in text version only.
8. Mailing list subscriber information will be available only to the mailing list administrator(s), which may be AAUW California staff or state leaders.
